This page provides information for partners and vendors who have expressed interest in the SW Vista & Spring Street Fair, Saturday, June 21, 2025. 

Attend Zoom call for final preparation and partner orientation three days before the event on June 18 between 6:30-7 p.m.

MARKETING

LOGO REQUIREMENTS
Every partner/sponsor/volunteer organization is asked to email a logo to contact@swhrl.org.

PROMOTION
Sponsor information may be included in a poster being prepared for display at local retailers between June 1-June 21.

GIVEAWAYS
If you have any swag to add to the partner appreciation bags, please plan for 30 partners to be at the event. If you have giveaways for guest participants, we estimate no less than 75 adults, 125 kids, and 50 pets will attend.

RAFFLE ITEMS
Another creative way to get your business name in front of customers is to offer raffle items that will be announced during the event. The sale of raffle tickets will help offset the cost of the event for the Neighborhood Association. All donations are fully tax-deductible to the donor, and the amount paid above the value is tax-deductible to the raffle winner. If you would like to take advantage of this additional marketing opportunity, please email a description of the raffle item to contact@swhrl.org and cc: eleni.gerding@n2co.com.

DAY OF EVENT DETAILS

LOADING / SETUP

LOADING SCHEDULE
To accommodate all partners, reduce chaos and mitigate risk of injury, a staggered loading schedule is suggested. Each partner has been assigned an ideal arrival/departure time based on their position in the line of booths. Please attempt to arrive at the assigned time and unload into your assigned space number. Let us know if you need this time adjusted.

Once you have unloaded your tents, tables and supplies, it is preferred you proceed to park your vehicles outside the event area and then come back and finish setting up your street fair booth. There is street parking nearby and also at the Strohecker’s parking lot a few blocks up adjacent to Portland Heights’s Park. A volunteer is also offering free shuttle service from Strohecker’s parking lot back and forth to Ainsworth on the day of the event to ease the traffic congestion on the dead-end street.

Thank you for making the effort to pulse the vendor traffic. On the day of the event, please arrive at the location as close to your assigned time as possible. 

The street fair will be open to the public from 11 a.m. – 2 p.m. 

PARKING
Personal vehicles must be parked outside of the closed-off event area on Spring Street between 10:30 a.m. and 2:10 p.m. 

CHECK-IN
Upon check in at the SWHRL registration table, you will receive your assigned booth space and partner appreciation goodie bag. 

TEAR DOWN / LOAD OUT
Please plan to break down your booth between 2-2:30 p.m.

SAFETY
The first aid station will be located at the registration tent.  Safety volunteers will be wearing fluorescent vests. Due to allergies, this is a latex-reduced event; latex balloons are not allowed. 

PETS / SERVICE ANIMALS
All animals must be leashed.
